Job Context

The Admin Intern will support the People & Culture and Administration Department in the systematic organization, indexing, archiving, and disposal of documents in compliance with HELVETAS policies  procedures and management guidelines. The position will support effective records management, ensure proper document retention and disposal practices, and contribute to the efficient utilization of office storage and administrative resources.

Key Responsibilities

The key responsibilities for this role may include the following but are not limited to:

  • Segregate and organize financial documents, publications, project agreements, academic research documents and other records from existing storage boxes.
  • Identify documents to be:
    • retained and stored at the Country Office;
    • archived at the designated external vendor's storage facility; or
    • disposed of/destroyed by the authorized vendor in accordance with applicable management guidelines.
  • Organize documents for archiving by year and project, place them systematically in designated boxes, and maintain appropriate box labels/tags.
  • Prepare and maintain an Excel-based document index for all archived boxes, including relevant information such as document type, year, project and box reference.
  • Organize old documents identified for disposal and pack them systematically in boxes as guided by the Finance and Administration Departments.
  • Support the Administration and Finance teams in ensuring proper documentation and traceability throughout the archiving and disposal process.
  • Perform other related tasks as assigned by the supervisor.

Required qualifications, experiences and skills

Education:

  • At least a Bachelor's degree, preferably in Business Administration, Finance, Accounting, Management or a related field.

Experience:

  • Basic understanding of administrative and/or financial documents.
  • Basic knowledge of MS Excel and data entry.

Skills:

  • Excellent communication and interpersonal skills.
  • Willingness and ability to work 8 hours per day on a full-time basis.
  • Basic understanding of professional office norms, conduct and workplace behaviour.
  • Ability to understand and communicate in English.
  • Good organizational skills and attention to detail.
  • Ability to follow instructions and work systematically.

Workstation

Country Office, Dhaka

Working Hours

8.5 hours per day including lunch break 30 minutes in between 8:00 AM to 5:00 PM.

Contract Tenure

Initially, we will offer a 1-month internship contract.

Salary & Benefits

We will offer a monthly gross internship allowance of BDT 15,000 along with other admissible benefits. Other benefits include HELVETAS public holidays, 2 days of the weekend, earned leave and sick leave.  Earned leave and sick leave will be applicable on a pro-rata basis, in accordance with the applicable organizational provisions.

Travel

This position does not require travel to the project locations.
